Sales Support Specialist (Construction industry)

We are looking for a Sales Support Specialist to join our team in the construction industry. In this role, you will be an important support to the sales department, working with calculating quotes, preparing order confirmations and ensuring correct documentation - all with a focus on providing the best possible service to our customers.

Job responsibilities:

  • Calculating quotes: Work with sales to create and calculate quotes using estimating software and technical specifications, making sure quotes are accurate and competitive.

  • Preparing order confirmations: Prepare and send order confirmations to customers based on approved quotes and help ensure we meet customer expectations every time.

  • Order paper management: Coordinate and ensure proper creation and archiving of internal order papers, including order confirmations, contracts and technical documents.

  • Proper documentation: Make sure all necessary technical, financial and legal information is included in order documents and tenders.

  • Follow-up and support: Support the sales department by following up on existing quotes and order confirmations to ensure all deadlines and requirements are met.

  • Customer communication: Ensure correct and efficient communication with customers regarding order confirmations, quote changes and delivery times.

  • Internal coordination: Manage internal coordination between sales, production and project management to ensure quotes and order confirmations are in line with both company capabilities and customer requirements.

  • Updating order databases: Maintain and update order databases and make sure we are up to date with order follow-up and invoicing.

Qualifications and skills:

  • Experience in estimating and order management - preferably from the construction industry or a related sector.

  • Experience with technical specifications and understanding of requirements for tender and order management.

  • Strong organizational skills and experience handling internal order documents and administrative processes.

  • Good language skills in both written and verbal communication in English and preferably German - to effectively communicate with both customers and suppliers.

  • Good Microsoft Office skills and experience with ERP software for order management.

  • A keen eye for detail and the ability to work with complex order specifications.

Desired competencies:

  • Experience in pricing and understanding building materials, production costs and timeframes for construction projects.

  • Knowledge of tender and document management systems, especially in the construction industry.

  • The ability to handle multiple tasks simultaneously in a fast-changing environment.

  • Experience coordinating between sales, project and production departments to ensure proper processing of quotes and orders.

Education:

  • Relevant technical education in construction, e.g. as a Building Technician or Building Designer.

  • Experience with technical calculation or financial calculation related to construction projects is an advantage.
